Inventory: gear, bookings and custody

The same body can't be booked on two sets

Add gear with its serial number or bring your list in from Excel, then book it to projects and shoots. The database rejects a second booking over overlapping hours, and the cart suggests an available alternative. Assignments and the chain of custody show who has what.

  1. Add your gear once

Every camera body, lens set and light goes in with its serial number, category and storage location, and the barcode has its own field. Bring an existing list in from Excel: missing categories are created, and likely duplicates are shown to you before anything is added.

    • Bulk import from Excel
    • A barcode field on every item; scanning with a phone camera isn't available yet
  2. Book gear to projects and shoots

A booking is tied to a project or a shoot, and it shows up in the Equipment section of the shoot page and on the project's Equipment tab. Kits keep recurring setups together, so a shoot day goes out as one list instead of loose pieces.

    • Kits for recurring setups
  3. Double bookings stop at the database

If the Aputure 600D is already booked for Friday's shoot, a second booking for the same hours is rejected on the spot. The database itself enforces the rule, so you see the clash while you're still planning. The cart suggests an available alternative of the same model, brand or category, and you swap it in.

  4. Who has which item, and since when

Alongside bookings, TodoMore keeps custody: an item is assigned to a person, handed over from one person to the next, and every change of hands goes into its chain of custody. You log damage and faults, mark an item as in maintenance, lost or written off, and track its next maintenance date.

    • My Equipment: everyone sees what they're holding
    • Damage reports and maintenance details
  5. Checkout approval and partner rentals

Bookings are approved before pickup, and if you want a second approver you can set up two-step approval (Business Scale). You can also open your gear to partner agencies you trust: they send rental requests, and you accept or decline them (Business Scale).

Inventory questions

Can I import my gear list from Excel?

Yes. Upload an Excel file and the items come in with their category, location and serial number. Missing categories are created, and likely duplicates are shown to you for confirmation.

Which plan includes inventory?

Inventory comes with Business Growth: gear records, bookings, kits, custody, damage reports and maintenance. Two-step checkout approval and rentals with partner agencies are on Business Scale.

Can I use inventory on set, from my phone?

Yes. The web app opens in your phone's browser; in My Equipment you see what you're holding and respond to handover requests. Our native iOS app is in beta with selected teams and the App Store release is on the way; write to us to join the beta.

What happens when gear comes back damaged?

You open a damage report on the item, with photos, and mark it as in maintenance; the next maintenance date is tracked on the item itself. Every handover stays in its chain of custody, so you can see who had it last.

Know where every piece of gear is
