Calendar and Planning: shoot operations

Build the plan, run shoot day from the Command Center

Every shoot has its own management page: you build the crew by role and collect RSVPs, plan each day's agenda hour by hour, pin the site plan to the map and mark each crew's area, and seat people on transport runs. On the morning of the shoot, everyone opens the call sheet and sees their own day.

  1. Open the shoot as an event

The shoot lands on the calendar as an event and gets its own management page with six sections: Overview, Crew, Agenda, Venue, Equipment and Transport. Multi-day shoots are planned one day at a time.

    • Creating shoots comes with Business Lite
    • Connect Google Calendar (Business Lite) and your Google events show up next to your shoots
  2. Build the crew, collect RSVPs

You build the crew from ready-made roles for production, creative agency, photography and event work, then split it into crews. Everyone invited replies Attending, Maybe or Not attending. When you need extra hands, invite someone from your Hub Talent Pool straight to the shoot.

    • Crew groups and coordination (Business Growth)
    • If a crew member already has another job at that time, you see a warning
  3. Plan the agenda and the venue

Each shoot day gets agenda items with times, and each item is assigned to crews; items that overlap are counted as conflicts. In Venue you pin a site plan or a satellite view to the map and paint each crew's area.

  4. Gear from inventory, transport in runs

The shoot's gear is booked from inventory. The same item can't be booked twice for overlapping times; if there's a clash, the cart suggests an available alternative. In Transport you generate ride needs from the crew list and seat people on runs with a vehicle, seat count and driver; people who travel on their own are marked separately.

    • Inventory-linked gear planning and transport planning (Business Growth)
  5. On the day: call sheet, My day, Command Center

Each shoot day has a printable call sheet with the header details, crew, agenda, notes and emergency contacts. In My day, each participant sees their crew, call and wrap times, area, ride and next items, and taps “I'm on site” on arrival. The Command Center puts the map, crews, agenda and updates from the floor on one screen, and projector mode puts it up on the wall.

    • Attendance: On set, No-show or Excused; the report downloads as CSV
    • Live location works only in the iOS app, only while the shoot is live, and depends on role settings
    • The Command Center comes with Business Growth

Calendar and Planning questions

Does it sync with Google Calendar?

Yes, on Lite and up. Each member connects their own Google account; Google Calendar events show up live in TodoMore's calendar. You can create and edit Google events from TodoMore and add a Meet link. You choose how your Google events appear to your team: free/busy only, titles, or full details.

What happens if I book the same camera for two sets?

You can't: a second booking for the same item over overlapping times is rejected at the database level, and the cart suggests an available alternative. Crew members aren't blocked the same way; if someone already has another job at that time, you see a warning.

Can I print a call sheet?

Yes. For each shoot day you print the call sheet, or save it as a PDF from your browser, with the header details, crew table, agenda, notes and emergency contacts. Only people who can manage the shoot see phone numbers; other participants get the sheet for their own crew.

Can the crew follow the shoot on their phones?

Yes. My day and the call sheet open in the phone's browser. Our native iOS app is in beta with selected teams, and live location works only there: it sends a position only while a shoot the person is on is live, it can be switched off per role, and only authorized people see it on the map. Write to us to join the beta.
