Creative work shouldn't be scattered across 12 tabs.
As the team grows, the work splits across WhatsApp groups, spreadsheets and email threads.
Script in Drive. Crew list in Excel. Brief in WhatsApp. Gear bookings in someone's head.
Information sits in four different places.
The editor doesn't know which cut is the latest. The producer doesn't know who's free.
People on the same job aren't looking at the same information.
Last job's gaffer is a number in someone's phone.
When someone leaves, the crew's memory leaves with them.
That's why we built TodoMore: everything about a job sits in its own project, and the whole team looks at the same place.
Start free, try Business Growth for 30 daysThe life of a job. Start to finish in TodoMore.
Five stages, real modules: how an ad film moves from pitch to wrap.
Pitch
Prospect and quote in CRM
Prospects move along the pipeline and quotes are built line by line with VAT. A won prospect becomes a client in one step; open its project next if you like, without re-entering anything.
Plan
No double-booked gear
The shoot lands on the calendar as an event; crew groups, agenda and venue are planned on its own page, and gear is booked from inventory. The same item can't be booked twice for overlapping times; if a crew member has a clash, the calendar warns you.
Shoot
Run shoot day live
Before the shoot, the crew answers the invite and everyone can see the call sheet. On the day, the Command Center shows the map, crews, schedule and updates from the floor on the same screen; each participant finds their own schedule in My day.
Post
Time-coded approval without email chains
The edit goes through an internal check first; your client only sees what's ready. They watch and comment on the exact second without an account, then sign off from their client account. Vertical work is checked against Reels, Stories, TikTok and Shorts safe-area masks.
Wrap
Time and expenses, on the project record
Expenses are logged against the project and go through the approval chain; once the expense list is closed, no new receipts go in. Finance shows each project's income, expenses and net for the period, per currency; TodoTime hours show how much effort each client takes.
All modules
No per-module fees; some modules are included from a certain plan up.
Projects
Board, list and calendar; content tasks
Clients (CRM)

Shoot day, on one screen.
Crew, agenda, venue, gear and transport come together on the shoot's management page. On the day you open the Command Center, and everyone on the crew sees their own day on their phone.
Command Center
Crew areas on a site plan or satellite view, crew lanes, the day's schedule and updates from the floor, side by side. Start and finish the next item right from here.
Projector mode
Open the Command Center's wall view on the TV or projector on set. The map, schedule and latest events are sized to read from across the room and update on their own; live location never shows on this screen.
Call sheet
A printable call sheet for every shoot day: header details, crew list, schedule, notes and emergency contacts. Phone numbers are visible only to the people running the shoot; everyone else receives their own crew's page.
RSVPs and roll call
The crew answers the invite with Attending, Maybe or Not attending. On the day, each person is marked On set, No-show or Excused, and you can print the attendance report.
My day
When participants open the shoot, they see their crew, call and wrap times, transport, area and next three items, and they tap “I'm on site” when they arrive.
Transport and live location
Build transport needs from the crew list and put people on rides; anyone making their own way is listed separately. Live location is sent only by the iOS app, during a live shoot, by participants whose role allows it. Only authorized people see positions on the Command Center map; the server keeps no location history, and the last position is deleted when the shoot ends.
Shoots come with Business Lite; crew groups, gear planning, transport and the Command Center come with Business Growth. Live location needs the iOS app, which is in beta with selected teams for now.

Most teams run a project tool, a separate review tool and a shoot planning tool. Below is where we replace them, and where we don't.
monday.com · ClickUp · Notion · Asana
General project tools
You build production from scratch.
- No shoot days or gear as objects; you imitate them with custom fields
- Gear and client sign-off still need other tools
Frame.io · Toggl · Cheqroom
Single-purpose tools
Good at one job, then you switch tools.
- Review in one tool, gear in another, time tracking in a third; information gets copied by hand
- Every tool is a separate bill and a separate sync headache
StudioBinder · Yamdu
Film pre-production tools
Strong for film and TV pre-production.
- Client pipeline, time tracking and finance stay in other tools
- Gear inventory and booking approvals need another tool

Frequently asked questions
If you couldn't find what you are looking for, contact us.
Yes. Open a shoot and you see its crew, agenda, venue and booked gear on one page; that shoot's ReView content and tasks are linked to it too. Client, project and calendar details are entered once, and every module reads the same record.
It's for teams that shoot and deliver content to clients: ad, film and music video production companies, creative and digital agencies, content and social teams, photo studios and event agencies. Crew roles come ready-made for production, creative agencies, photography and events.
In most cases, no. ReView has frame-accurate comments, drawing notes, version compare and a client review stage. The live integration today is Google Calendar: each member connects their own account, Google events show up in TodoMore's calendar and can be created and edited from there. There's no direct Slack, Zapier, Frame.io, Google Drive, Final Draft or DaVinci integration yet.
Yes. Free gives you up to 3 members, 5 active projects, tasks, calendar, ReView (50 min), briefs and chat, free forever. No credit card required.
You add gear one item at a time with serial numbers and barcode details, or in bulk from Excel. Bookings link to projects and shoots; the database itself refuses a second booking of the same item for overlapping dates, and the cart suggests an available alternative. Assignments, handovers between people, damage reports and the chain of custody are all on record. Inventory comes with Business Growth; two-step checkout approval and external rentals are on Business Scale.
Yes, in two ways. In the Client Portal, your client signs in with their own account and sees only what's shared with them across the Overview, Projects, ReView, Files and Calendar tabs; they approve content that's waiting on them and fill in the forms you assign. Content in internal check or internal revision stays hidden from them. Client accounts are unlimited on paid plans and capped at 3 on Free. For people you'd rather not give an account, send a ReView guest link: they can watch and comment, but can't approve.
Finance keeps income, expenses, receivables, company cards and cash accounts together. Different currencies are never added up; each one shows separately. When you log an expense, you enter taxes such as withheld VAT and income tax withholding as separate lines. Each project's income, expenses and net for the period are visible, and you can export the records for your accountant. Expense entry comes with Business Lite; the company ledger, accounting export and the expense approval chain open from Business Growth.
Yes, on Lite and up. Each member connects their own Google account; Google Calendar events show up live in TodoMore's calendar. You can create and edit Google events from TodoMore and add a Meet link to them. You choose how your Google events appear to your team: free/busy only, titles, or full details.
The database runs in Supabase Frankfurt (EU) and files are stored in Cloudflare R2's EU jurisdiction. App traffic is encrypted with TLS (HTTPS) and data at rest with AES-256; fields such as ID and passport numbers are additionally encrypted at column level. Row-level security is on for every table the app reads, so one workspace can never read another's data.
Yes. Upgrades take effect immediately. Downgrading never deletes data; above the new plan's limits, only adding new items is paused.
Yes. Our native iOS app is in beta with selected teams: tasks, calendar, shoots, inventory, ReView, messages and TodoTime in your pocket on set. Live location sharing on shoot day is available only in the iOS app. The App Store release is on the way; write to us to join the beta. There's no Android app yet; the web app works in your phone's browser.
No. You can bulk import your gear list from Excel (Business Growth); missing categories are created and you confirm any rows that look like duplicates. For prospect lists (Business Lite) you map the Excel columns yourself. There's no bulk import for projects yet; you can add ongoing jobs by hand and start new ones directly in TodoMore. On Business Lite and up you connect your Google Calendar, and your events show up on both sides. For questions about setup or moving your data, write to [email protected].
Every plan includes email support: write to [email protected] and we'll get back to you as soon as we can. Priority support on Business Scale and Limitless, plus onboarding and data migration help on Limitless, is available on request.
Freelancers publish their profiles and portfolios on Hub; you open an agency profile and add the people you trust to your Talent Pool. When you invite someone from the pool to a shoot, they reply with an RSVP; accepting opens an external seat that lasts only for that shoot. Hub doesn't handle payments; you settle fees directly with the freelancer.
Per workspace. Every plan has one flat price and a member ceiling, with no per-member fees: Lite $39/mo (5 members), Growth $119/mo (20), Scale $249/mo (50), Limitless $699/mo (500). Client accounts are unlimited on paid plans.
No. The member cap is for your in-house team. Freelancers and the outside agencies you work with use external seats: 3 on Free, 25 on Lite, 100 on Growth, 300 on Scale and 1,000 on Limitless. When you invite someone from your Hub pool to a shoot, their seat frees up on its own once that shoot ends. Client accounts are unlimited on paid plans.
Not yet; every plan is billed monthly for now.
ReView minutes are a capacity: the total length of the videos in ReView right now. Free includes 50, Lite 250, Growth 1,000, Scale 1,500 and Limitless 4,000 minutes. They don't reset monthly; deleting content or pruning old versions frees space. If you're full, existing videos keep playing; free up space or move up a plan to upload more. Watching has its own monthly playback allowance.
It reaches beyond your agency: Hub, the client portal and iOS.
Your freelancers, your clients and your crew on set work in the same system.
