Projects: from brief to delivery

Tasks, files, gear and expenses on the same project

The brief sits on the project's Home tab, and tasks move in board, list or calendar view. Files and links, gear and expenses have their own tabs; shoots on the calendar and cuts in ReView are tied to the same project.

  1. Start from a won prospect, or from scratch

A prospect won in CRM becomes a client in one step, and you open the project from that client's card without re-entering anything. You can also open a project from scratch and add the team later.

    • One step from the client card to the project
    • No re-entering client details
  2. The brief sits on the project

Briefs and docs sit on the project's Home tab, so nobody goes looking for them in folders, and the team posts status updates on the project too. Everyone reads the same brief.

  3. Tasks with owners and due dates

Break the job into tasks, each with an owner and a due date, and follow them in board, list or calendar view. On the project list, saved views keep the team's shared filters.

    • Board, list and calendar views
    • Saved views shared across the workspace
  4. Content tasks

For social and campaign work, set the task type to Content and pick its category: video, graphic, photo, text or audio. The brief lives on the task, the task can be linked to a shoot, and its edit opens in ReView tied to that task.

  5. Everything else is tied to the project

Shoots land on the calendar and link to the project, gear bookings appear on its Equipment tab, and the cut goes through ReView approval under the same project. TodoTime entries attach to the project and its tasks, and expenses collect on the Expenses tab.

  6. Status the team and the client can see

Project status and history are visible to the whole team instead of sitting in someone's inbox. Give the client a free client account and they follow their own projects in the Client Portal. Project income and expenses are tracked in Finance, and the project's crew and gear lists export to Excel.

Projects questions

How many projects can I run on the free plan?

Free gives you a team of 3 and 5 active projects, and the Free plan doesn't expire; no credit card required. The active project ceiling is 15 on Lite, 100 on Growth and 300 on Scale; Limitless has no limit.

What does a project hold?

A project has Home, Tasks, Resources, Equipment and Expenses tabs: the brief and status updates, tasks, files and links, booked gear, and expenses. Shoots on the calendar and content in ReView are linked to the same project.

Can the client see the project?

Yes. Give the client a free client account and they see their own projects and where each one stands on the Projects tab of the Client Portal. Content still in internal check or internal revision, and your team's private comments, stay hidden from them.

What happens to finished projects?

You archive them. An archived project doesn't count toward your active project ceiling, and everything in it stays where it is. You can take it out of the archive whenever you need it again.
